Augusta helps your recruiting team schedule Screenings, Interviews, and Orientations while reducing the time spent coordinating meetings with applicants.
With automated booking, eligible applicants can schedule their own Screening or Interview immediately after applying, helping your agency connect with candidates faster.
Your team can also manually invite applicants to book or schedule meetings directly on their behalf.
This guide explains how these options work with your agency's Hiring Stage settings.

How Meeting Booking Works
Augusta supports three hiring stages: Screening, Interview, and Orientation.
Your agency can configure which stages applicants enter based on their qualification status. For example:
- Qualified applicants: Go directly to an Interview.
- Needs Further Review applicants: Complete a Screening before advancing to an Interview.
You can also configure both groups to enter the same stage or use a different combination that fits your recruiting process.
For Screenings and Interviews, Augusta supports three booking methods:
| Booking Method | How It Works |
|---|---|
| Automated Booking | Eligible applicants are prompted to book a Screening or Interview immediately after applying. |
| Manual Invitations | Recruiters review an applicant and select Invite to Screening or Invite to Interview to send a booking invitation. |
| Recruiter-Booked Meetings | Recruiters select a meeting time directly on the applicant's behalf. |
Note: Orientation is always recruiter-led. Applicants are not automatically prompted to book Orientation.

Automated Screening & Interview Booking
When Auto-Invite is enabled, Augusta automatically prompts eligible applicants to schedule a Screening or Interview at the end of their application.
Your agency can control automated booking separately for Qualified and Needs Further Review applicants.
For example, you might configure:
- Qualified applicants: Automatically book an Interview.
- Needs Further Review applicants: Enter Screening but wait for a recruiter to review their application before receiving an invitation.
Alternatively, both groups can be allowed to book automatically, whether they're entering Screening or Interview.
What If an Applicant Doesn't Book?
If an eligible applicant doesn't schedule a meeting after applying, Augusta automatically sends follow-up text messages and emails encouraging them to book.
These are called Booking Enticements.
You don't need to resend invitations or manually follow up with additional booking messages.

Augusta Recommendation: If an applicant hasn't booked after receiving automated invitations, call them directly and offer to schedule the meeting on their behalf.
How to Manually Invite Applicants
If Auto-Invite is disabled for an applicant's qualification status, recruiters can review their application before deciding whether to send a booking invitation.
To manually invite an applicant:
- Open their profile in your Augusta Dashboard.
- Review their application and qualification status.
-
Click Invite to Screening or Invite to Interview, depending on their assigned Hiring Stage.
Once selected, Augusta initiates the same booking enticement process, typically within a few minutes. The applicant receives a booking link to select an available meeting time.
Changing an Applicant's Qualification Status
The available invitation button reflects the applicant's current qualification status and your agency's Hiring Stage settings.
For example, an applicant marked Needs Further Review may initially have an Invite to Screening button.
If a recruiter changes their status to Qualified, and Qualified applicants are configured to go directly to Interviews, the button changes to Invite to Interview.
This allows recruiters to override an applicant's qualification status and invite them to the appropriate meeting.
Booking Meetings on Behalf of Applicants
Recruiters can schedule meetings directly from an applicant's profile instead of waiting for the applicant to book.
This is especially useful when:
- Speaking with an applicant over the phone.
- Advancing an applicant from Screening to Interview.
- Following up with an applicant who hasn't booked after receiving invitations.
To book a meeting, open the applicant's profile and use the meeting scheduling option to select an available time on their behalf.
Scheduling Orientations
Unlike Screenings and Interviews, Orientations are not automatically offered to applicants.
Once your team decides to move forward with a candidate, recruiters can:
-
Book Orientation directly on the candidate's behalf.
- Share the Orientation booking link so the candidate can select a time themselves.
Augusta Recommendation: Whenever possible, schedule the next meeting before concluding your conversation with the applicant.
For example, after a successful Screening, book the applicant's Interview before ending the call. Likewise, after deciding to hire a candidate, schedule their Orientation before concluding the Interview.
This helps keep candidates engaged and gives them a clear next step in your hiring process.

Managing Auto-Invite Settings
Your agency can enable, pause, or turn off automatic invitations for Qualified and Needs Further Review applicants.
How to Access Auto-Invite Settings
- Go to your Augusta Dashboard.
- Click Interviews.
- Select Settings.
- Scroll to Auto-Invite Applicants.
From here, you can manage which applicant qualification statuses are automatically invited to book.
Pausing Auto-Invite
If your agency needs a temporary break from automated bookings, use Pause Auto-Invite.
This is useful for recruiter vacations, staffing changes, or temporary hiring slowdowns.
Augusta automatically resumes invitations after the selected pause period.
Turning Off Auto-Invite
When Auto-Invite is turned off:
- New eligible applicants will not receive automatic booking invitations.
- Recruiters must manually invite applicants or schedule meetings on their behalf.
- Applicants who already received an invitation with an active booking link may still book.
Augusta Recommendation: Keep automated booking enabled whenever possible, particularly for Qualified applicants. If you only need a temporary break, pause Auto-Invite instead of turning it off completely.
What Happens After a Meeting Is Booked?
Regardless of how a meeting is scheduled, Augusta sends applicants meeting confirmations and reminders through text and email.
Applicants can also cancel or reschedule their meetings through the options provided.
These communications apply to Screenings, Interviews, and Orientations.
Learn more about How Meeting Reminders Work for Applicants.
In Summary
Augusta gives your agency flexibility in how applicants move through your hiring process:
- Automated Booking: Let eligible applicants schedule Screenings or Interviews immediately after applying.
- Manual Invitations: Review applicants before inviting them to schedule a meeting.
- Recruiter-Booked Meetings: Schedule meetings directly on behalf of applicants, including Orientations.
We recommend using automated booking whenever possible to reduce scheduling delays, while having recruiters personally schedule the next meeting when advancing candidates through your hiring process.
