Once you have enabled your desired Hiring Stages inside your Augusta dashboard, you can configure how each stage operates from your Interviews tab.
All hiring stages use the same configuration layout, but each stage may have different workflows and recommendations depending on how your agency recruits.

Configure a Specific Hiring Stage
- Go to your Augusta Dashboard
- Click the Interviews tab
-
Select the hiring stage you want to configure:
- Screening
- Interview
- Orientation
Note: These tabs only appear if the hiring stage has been turned ON inside your Hiring Stages settings.
Configure Your Meeting Details
Each hiring stage has its own meeting settings. This allows your agency to configure:
- Separate meeting descriptions
- Different meeting formats
- Separate schedules
- Different recruiters
- Unique booking rules for each stage
Meeting Name
This is the title applicants will see when booking a meeting. Keep the title simple and clear so you and the candidate know what the meeting is on your calendar.
Meeting Description
This description is shown to applicants throughout the booking process and within reminder messages.
Use this section to explain what the meeting will cover, who the applicant will speak with, what they should bring, and any important details or expectations before the meeting.
Each hiring stage should have its own meeting description based on the purpose of that stage.
Location Type
You can choose between a Phone Call, a video call, or In-Person
Each hiring stage can use a different format.
Note: If you're using a video call, make sure to connect your meeting platform in Augusta. We support Zoom, Google Meet, Microsoft Teams, or Augusta Video.
Meeting Duration
Select how long meetings should last for each stage.
Tip: Screenings should be no longer than 15 minutes, & Official interviews should be no longer than 30 minutes.
Interview Schedule
Each hiring stage can have its own schedule. You can choose whether to:
-
Use each recruiter’s personal availability schedule
OR - Set a fixed schedule specifically for that hiring stage
This is especially important for agencies using multiple hiring stages.
Example:
- Screening availability: 9 AM – 11 AM
- Interview availability: 9 AM – 5 PM
- Orientation availability: Wednesdays only
This helps prevent one stage from taking availability away from another.
Interview Assignments
This section controls which recruiters can conduct meetings for each hiring stage.
Examples:
- A dedicated team member only handles screenings
- Recruiters are only conducting official interviews
- HR team members handling orientations
Only users marked as Interviewers inside your Manage Users settings can be assigned to hiring stages.
Learn more here.
Advanced Settings
Each hiring stage has its own advanced scheduling settings.
Maximum Meetings Per Time Slot
This allows multiple applicants to book the same time slot.
Examples:
- Group interviews
- Group orientations
- Overbooking screening slots to offset no-shows
Note: Orientation stages support larger group booking limits than Screening or Interview stages.
How Far Ahead Applicants Can Book
This controls how far into the future applicants can schedule meetings.
Augusta generally recommends keeping Interview booking windows short so applicants move through the hiring process quickly.
Important: Orientation stages support longer booking windows since recruiters typically schedule these manually on behalf of applicants.
Minimum Notice Before Booking
This controls how much advance notice recruiters need before meetings can be booked.
Example: If set to 1 hour, applicants cannot book meetings starting within the next hour.
So be cautious when setting long notice windows, as this can slow hiring momentum.
Applicant Booking Links
At the bottom of each hiring stage settings page, you can copy the applicant booking link for that stage.
This allows you to share the booking link directly with applicants or book meetings on behalf of applicants when contacting them directly.
Tip: Many agencies bookmark their Orientation booking link since orientations are typically scheduled manually by recruiters.
Managing Automated Meeting Invitations
Augusta can automatically invite eligible applicants to book Screenings and Interviews based on your Hiring Stage configuration. You can learn how to turn automated meeting invitations on, off, or temporarily pause them here.
Automated Reminders & Scheduling
Once a meeting is booked, Augusta automatically handles:
- Confirmation emails
- Reminder texts/emails
- Calendar syncing
- Reschedules/cancellations
- Applicant status tracking

Stage-Specific Setup Notes
Screening Stage
Use Screening only when your agency truly needs an extra vetting step, such as credential-heavy roles, live-in recruiting, large service areas, or additional applicant verification. Extra steps can increase applicant drop-off.
Interview Stage
For most agencies, we recommend allowing qualified applicants to automatically book their official interview after applying. Faster booking typically leads to stronger engagement, better show rates, and more hires.
Orientation Stage
Orientation is recruiter-scheduled only. Applicants are not automatically invited. Once booked, Augusta helps centralize reminders, calendar syncing, reschedules/cancellations, and applicant status tracking.
