How to Join a Virtual Meeting
When an applicant schedules a virtual screening or interview using Augusta Video, a unique video meeting link is created for that meeting.
1. Open the meeting from your calendar
Find the scheduled screening or interview on your connected calendar and open the event.
Your Augusta Video meeting link will appear within the calendar event.
2. Click the Augusta Video link
Click the meeting link to open Augusta Video in your browser.
If your browser asks for permission to access your camera or microphone, select Allow.
Tip: You do not need to download an app or create a separate video account to join.
3. Join the meeting
Once you enter the meeting room, you'll see the applicant when they join.
You can switch between:
-
Speaker View to focus on the person currently speaking.
-
Grid View to see everyone in the meeting at the same time.
You can also open the meeting information panel to see details such as the interview name, date and time, time zone, participants, and remaining meeting time.
What Does the Applicant Experience?
Applicants receive the meeting information associated with their scheduled screening or interview. This is sent to them in our meeting confirmations and meeting reminders. Learn more about meeting reminders here.
They can open the Augusta Video meeting link from their phone or computer and join through their browser without creating an additional account or downloading separate video conferencing software.
Once both you and the applicant have joined, you can conduct the screening or interview just like any other virtual meeting.
Using Augusta Video During Your Meeting
The controls at the bottom of the meeting room give you access to the tools you'll most commonly need.
During a meeting, you can:
- Turn your camera and microphone on or off
- View meeting participants
- Send messages through the meeting chat
- Share your screen
- Switch between speaker and grid views
- Record the meeting
- Transcribe the meeting
Chat
Select Chat to send a written message during the meeting.
This can be helpful if you need to share information with an applicant or if either person is having difficulty hearing the other.
Screen Sharing
Select Share when you need to share your screen with the applicant during the meeting.
Taking Notes While Meeting With an Applicant
You don't have to choose between viewing the applicant and working inside Augusta during your meeting.
Augusta Video supports picture-in-picture, allowing the applicant's video to remain visible in a smaller window while you navigate to another screen.
Simply click the picture-in-picture icon in the top right corner of the meeting.
This is especially helpful when you need to return to the applicant's Augusta profile and complete your Post-Interview Answers or reference information during the conversation.
Recording & Transcribing a Meeting
Augusta Video also gives you the option to record or transcribe a virtual screening or interview when needed.
Recording
Select Record from the meeting controls to begin recording your meeting.
Once recording has started, you'll see a recording indicator at the top of the meeting.
After the recording is processed, you'll receive an email from Cal.com with access to the recording.
Transcription
Select Transcribe from the meeting controls if you'd like a written transcript of the conversation.
You'll be asked to confirm before transcription begins.
After the transcript is processed, you'll receive an email from Cal.com with access to the available transcript files.
Important: Follow your agency's policies and any applicable requirements for notifying or obtaining consent from participants before recording or transcribing a meeting.
In Summary
Augusta Video makes it easy to conduct virtual screenings and interviews without requiring you or your applicants to download additional video conferencing software.
From your Augusta Video meeting, you can talk with applicants, use chat and screen sharing, keep the applicant visible while taking notes in Augusta, and record or transcribe meetings when needed.
When it's time for your meeting, simply open the scheduled event from your calendar, click the Augusta Video link, and join through your browser.
