Augusta checks your connected calendar for conflicts before offering meeting times to applicants. Events marked as Busy help ensure candidates can only book when you're actually available.
Because of this, it's important that your calendar accurately reflects your own schedule and availability.
If other team members need visibility into your calendar, we recommend sharing calendar access instead of adding coworkers to events they don't actually need to attend.

Why This Matters
For example, let's say your marketer is going on vacation and creates an all-day Out of Office event. They add the entire office—including your recruiter—to the calendar event so everyone knows they'll be away.
If that event appears as Busy on the recruiter's connected calendar, Augusta may see the recruiter as unavailable and prevent applicants from booking—even though the recruiter is still working.
Instead:
- Add coworkers to calendar events when they actually need to attend.
- Share calendar access when someone simply needs visibility into another team member's schedule.
- Keep your recruiter's calendar reflective of their actual availability for candidate meetings.
This keeps your team informed without accidentally reducing the number of screenings, interviews, or other meetings applicants can book.
Tip: If applicants are having trouble finding available meeting times, review your connected calendar for internal meetings, Out of Office events, or other events marked as Busy that may be blocking availability.
How to Share a Google Calendar
- Open Google Calendar.
- Under My calendars, find the calendar you want to share.

Click the three dots next to the calendar and select Settings and sharing.

Under Share with specific people or groups, click Add people and groups.
- Enter the email address of the team member who needs access.

Set their permissions to See all event details if they need to view interview details and meeting links.
- Click Send.
Once accepted, your team member can view your calendar without needing to be invited to every event.
How to Share an Outlook / Office 365 Calendar

Open your Outlook Calendar and go to Settings.

Select Shared Calendars.
- Choose the calendar you'd like to share and click Share.
- Enter the email address of the team member who needs access.

Select Can view all details if they need to view interview details and meeting links.
- Send the invitation.
Once accepted, your team member can view your shared calendar without needing to be added as an attendee to each event.
Keep Your Calendar Clean
A simple rule of thumb:
Need someone to attend? Add them to the calendar event.
Need someone to know what's happening? Share your calendar instead.
Keeping the two separate gives your team the visibility they need while helping Augusta accurately understand when your recruiters are actually available for candidate meetings.
