When an applicant books a screening, interview, orientation, or other meeting through Augusta, Augusta automatically notifies the recruiter/interviewer the meeting is booked with.
No additional setup is required for the booked interviewer to receive their meeting notification.
However, sometimes other members of your team want to receive those notifications too.
For example, your recruiter may use sam@company.com for their connected calendar, while a recruiting manager or shared recruiting inbox also wants to know whenever an applicant books with Sam.
In this situation, you can create an email forwarding rule to automatically send those booking notifications to another team member or inbox.
Just need to see your recruiter's upcoming meetings? You don't need additional email notifications. Instead, share the recruiter's calendar with your team.

Before You Get Started
Again, the interviewer an applicant books with will already receive their Augusta meeting notification. The steps below are only necessary if you want that notification forwarded to additional people or inboxes.
We recommend waiting until your recruiter receives an Augusta meeting-booking notification.
You can then use that email to create your forwarding rule based on the sender and/or subject line. This helps ensure you're only forwarding the notifications you want instead of unrelated emails from the recruiter's inbox.
Gmail
From the recruiter's Gmail account:
-
Open Settings → See all settings.
-
Select Forwarding and POP/IMAP.
- Click Add a forwarding address.
-
Enter the email address that should also receive the notifications.
-
Follow Google's prompts to verify the forwarding address.
-
Once verified, return to Settings → Filters and Blocked Addresses.
- Click Create a new filter.
-
Use one of your Augusta meeting notification emails to identify the appropriate sender and/or subject line for your filter. This helps ensure your filter forwards the appropriate applicant meeting notifications without forwarding unrelated emails.
- Augusta Scheduling System: hello@cal.com
- Still using Calendly? Use: notifications@calendly.com and no-reply@calendly.com
-
Click Create filter.
- Select Forward it to and choose the email address you added.
- Save your filter.
Matching meeting notifications will now automatically be forwarded to the additional team member or inbox.
Outlook / Office 365
From the recruiter's Outlook account:
-
Open Settings.
-
Select Mail → Rules.
- Click Add new rule.
- Give your rule a recognizable name, such as Augusta Meeting Notifications.
-
Under Add a condition, select From and enter the appropriate meeting notification email:
- Augusta Scheduling System:
hello@cal.com - Still using Calendly? Add
notifications@calendly.comandno-reply@calendly.com
- Augusta Scheduling System:
- Under Add an action, select Forward to.
-
Enter the email address that should also receive the notifications.
- Click Save.
Matching meeting notifications will now automatically be forwarded.
Choose the Right Setup for Your Team
Want the booked recruiter to receive their meeting notifications?
→ Augusta already handles this automatically.
Want another team member to see the recruiter's schedule and upcoming meetings?
→ Share the recruiter's calendar.
Want another team member or shared inbox to receive an email whenever an applicant books?
→ Create an email forwarding rule using the steps above.
Want additional team members to have both?
→ You can use calendar sharing and email forwarding together.
This gives your team the visibility they need without adding unnecessary attendees to candidate meetings and potentially creating calendar conflicts that reduce your recruiter's bookable availability in Augusta.
