Based on our data, organizations that interview applicants within 4 days have 2X the hire rate of those who have a longer interview delay. Think about this: applicants are bombarded with job offers and want to start earning as soon as possible. Decreasing your interview delay will have a big impact on your interview show-up rate and, because of the extra efficiency, will enable you to hire more or decrease your ad spend (depending on your priorities).
If you've seen this alert in your dashboard, this article will help you resolve it:
Note: We use the last 50 interview bookings to calculate the time to interview. If you make improvements, it may take a few weeks to be reflected in the calculations.
What's causing the long interview delay?
There are 3 main causes:
- There are more applicants wanting to book an interview with you than the number of interview slots available. That's a great problem to solve, isn't it?
- The recruiter is not available to interview every day and is only allowing interviews on specific days.
- You're allowing applicants to book too far in the future.
I want to solve this: what steps can I take?
Step 1: Review your qualification criteria
There's nothing worse than finding out in the first 2 minutes that someone is not qualified right? Or even worse, someone does not show up.
Review your last 20-30 qualified candidates and check if there's any pattern on who didn't show up or who you didn't end up hiring.
Then, go the "Smart Job Application" section at the top of your dashboard and select "Qualification Rules & Settings" and you'll see the Qualification rules at the bottom. Make your modifications and save. If you need more advanced help see our article here.
Note: A common area of improvement is the geo-qualifications. Our dataset shows that agencies are much more likely to hire an applicant that is within 15 miles of the center of the service area. We have advanced geo-qualification settings and can specify multiple service areas for your agency if you have service areas that are far from your office. For complex service areas, such as in dense urban areas or around state lines, we can also specify zip codes.
Step 2: Review how you can increase your # of interview slots
There are many ways to improve your # of interview slots and there's no size-fit all approach.

Step 3: Revisit your ad spend on your caregiver channels
Another way you can improve the interview delay is by reducing the number of applicants that come in at the top of the funnel and save money at the same time.
For example, if you're using Indeed, you may want to turn OFF your ad spend completely for a few days if you go on vacation or if you're not interviewing on certain days. You can also reduce ad spend on each day but beware that you have to spend enough in order to compete for the best applicants. If you have any questions, feel free to reach out or talk to your Indeed rep!
